It has already been two months since the switch from Serval to IRIS<\/strong> at UNIL.<\/p>\n\n\n\n

Based on the requests we have received, the project team's use of the tool, and suggestions from the faculties, we have compiled a list of best practices to help you submit and manage your notices so that they are promoted and visible.<\/p>\n\n\n\n

We have also opened registration for new IRIS sessions in the spring semester. Register now<\/a>!<\/p>\n\n\n\n

Check before creating a new record<\/h2>\n\n\n\n

Before submitting anything new, take a moment to check whether the notice already exists. This avoids duplicates, which complicate the search and tracking of publications.<\/p>\n\n\n\n

Use import by DOI or PMID when possible.<\/h2>\n\n\n\n

If your publication has a DOI or PMID, use them to complete the metadata. This will save you time and reduce data entry errors.<\/p>\n\n\n\n

Field verification<\/h3>\n\n\n\n

After importing, check each field<\/strong>: journal title, volume, pages, authors, etc., to ensure the completeness and quality of the metadata.<\/p>\n\n\n\n

Resolve suggested duplicates during submission<\/h2>\n\n\n\n

If IRIS alerts you to a potential duplicate<\/strong>, do not ignore it. Check whether it is indeed the same publication. If so, stop entering it and contact iris@unil.ch if you cannot modify it so that we can link it for you.<\/p>\n\n\n\n

A clean database without duplicates benefits the entire community.<\/p>\n\n\n\n

Link notices to the right people and units<\/h2>\n\n\n\n

Ensure that the notice is correctly linked to the correct authors and their units.<\/p>\n\n\n\n

This step is essential for your publications to appear correctly in researcher profiles and unit lists.<\/p>\n\n\n\n

It also ensures that you can modify the notice at a later date.<\/p>\n\n\n\n

Adding and\/or correcting links in a record<\/a><\/p>\n\n\n\n

Submit the full text and share it as openly as possible.<\/h2>\n\n\n\n

Submitting the full text allows you to disseminate your work more widely<\/strong> and increase its visibility. It also enables you to meet the open access requirements of various funding bodies and UNIL<\/a>.<\/p>\n\n\n\n

Open Access and visibility<\/h3>\n\n\n\n

Ticking the Open Access<\/strong> box in IRIS does not automatically make the document accessible in OA<\/strong>. This box only indicates whether the publication itself is Open Access or not<\/strong>.<\/p>\n\n\n\n

To set the actual visibility of the document<\/strong>, you must access the document's editing window<\/strong> and correctly configure the visibility and embargo options.
Also enter the applicable licence<\/strong>, if applicable.<\/p>\n\n\n\n

Adding full text and\/or secondary documents<\/a><\/p>\n\n\n\n

Automatic thumbnail<\/h3>\n\n\n\n

If the document is freely accessible, the thumbnail of the first page is generated automatically within 24 hours of submission<\/strong>. You do not need to do anything.<\/p>\n\n\n\n

Provide as much metadata as possible<\/h2>\n\n\n\n
