{"id":220,"date":"2024-08-19T15:49:42","date_gmt":"2024-08-19T13:49:42","guid":{"rendered":"https:\/\/wp.unil.ch\/dsbu\/?page_id=220"},"modified":"2025-11-04T15:43:09","modified_gmt":"2025-11-04T14:43:09","slug":"archiving","status":"publish","type":"page","link":"https:\/\/wp.unil.ch\/dsbu\/archiving\/","title":{"rendered":"Long Term Storage \/ Archiving"},"content":{"rendered":"\n<p>Through the process of&nbsp;<strong>data life cycle managemen<\/strong>t, our team is providing&nbsp;<strong>information, advice and help<\/strong>&nbsp;<strong>to FBM UNIL researchers for long term storage and preservation of their data for free at the DCSR UNIL.<\/strong><\/p>\n\n\n\n<p>Contact us for guidance on &nbsp;<strong>how to prepare your Readme file and reorganize your data in order to preserve your work.<\/strong><\/p>\n\n\n\n<p>DSBU will help you by:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Informing and <strong>guiding you <\/strong>through the process of reorganizing and describing your research data in the form of explanatory documents called \u201creadme file\u201d.<\/li>\n\n\n\n<li>Offering you <strong><a href=\"https:\/\/wp.unil.ch\/dsbu\/tools\/\">two powerful tools<\/a><\/strong>, <strong>DeepScan<strong><strong><sup>@DSBU<\/sup><\/strong><\/strong> <\/strong>to screen your data folders on the NAS-DCSR and <strong>DataSquid<strong><sup>@DSBU<\/sup><\/strong> <\/strong>to generate semi-automatically the documentation as a readme file.<\/li>\n\n\n\n<li><strong>Final validation <\/strong>of your readme file and data re-organization before data migration from the DCRS NAS to the LTS platform.<\/li>\n<\/ol>\n\n\n\n<h1 class=\"wp-block-heading\">LTS <strong>Caracteristics<\/strong><\/h1>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Under the responsability of the PI<\/strong><\/li>\n\n\n\n<li><strong>Free of charge<\/strong>&nbsp;(2 copies with security and backup)<\/li>\n\n\n\n<li>Time limit for storage duration (e.g. for published data <strong>at minimum 10 years<\/strong>&nbsp;after the date of the article acceptance) with possible extension (1x).<\/li>\n\n\n\n<li><strong>Restricted access<\/strong>&nbsp;(limited number of accesses to data on LTS and under request only).<\/li>\n\n\n\n<li><strong>Effective organization of your<\/strong>&nbsp;<strong>data under a project form<\/strong>&nbsp;(matched with a funding, a specific theme, a publication etc.)<strong>.<\/strong><\/li>\n\n\n\n<li><strong>Production of a Readme file<\/strong>&nbsp;(document describing the dataset content) for each individual futur TAR subdirectory<\/li>\n\n\n\n<li><strong>Naming rules for (TAR = Tape Archive) subdirectories<\/strong>&nbsp;in the LTS directory<\/li>\n<\/ul>\n\n\n\n<h1 class=\"wp-block-heading\"><strong>Securing UNIL Data: Key Practices<\/strong><\/h1>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Mandatory Storage<\/strong>: Store all UNIL research data on <strong>NAS Recherche DCSR<\/strong> or <strong>LTS<\/strong> (two copies required); external disk or servers are prohibited. <strong><a href=\"https:\/\/www.unil.ch\/files\/live\/sites\/unil\/files\/02-universite\/0212-cadres-legal-reglementaire\/textes-leg\/4-rech\/dir4-5-donnees-rech.pdf\">Link: Directive UNIL 4.5 \u2013 Traitement et gestion des donn\u00e9es de recherche&nbsp;<\/a>)<\/strong><\/li>\n\n\n\n<li><strong>Storage Rules<\/strong>:\n<ul class=\"wp-block-list\">\n<li>No <strong>personal<\/strong>, <strong>sensitive<\/strong>, or <strong>admin data<\/strong> on NAS-DCSR and LTS.<\/li>\n\n\n\n<li>Use <strong>NAS-UNIL Admin partition<\/strong> for Administratif personal data.<\/li>\n\n\n\n<li>Use <strong>OneDrive<\/strong> or the <strong>NAS-UNIL Admin partition<\/strong> for research-related files like protocols, presentations, references, figures for paper preparation\u2026<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<h1 class=\"wp-block-heading\">Procedure<\/h1>\n\n\n\n<h2 class=\"wp-block-heading\">Step1 &#8211; Data organization<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>You need to&nbsp;<strong>reorganize your data according<\/strong>&nbsp;<strong>to the projects<\/strong>&nbsp;you will have defined and&nbsp;<strong>clean up\/eliminate obsolete data<\/strong>.<\/li>\n\n\n\n<li><strong>Research&nbsp;data must&nbsp;be<\/strong>&nbsp;<strong>organized<\/strong>&nbsp;into the LTS directory&nbsp;<strong>around&nbsp;a&nbsp;given<\/strong>&nbsp;<strong>project<\/strong>&nbsp;<strong>(matched with a funding, a specific theme, a publication etc.).<\/strong><\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Step 2 &#8211; is<\/strong>&nbsp;<strong>free up to 4 TB&nbsp;<\/strong>per subdirectory in the LTS directory.&nbsp;<strong>No need to compress your data<\/strong>&nbsp;since this step will be done during the creation of the TAR subdirectory.<\/li>\n\n\n\n<li>The TAR files to be archived must remain at the <strong>root of the LTS <\/strong>directory.<\/li>\n\n\n\n<li>Each TAR subdirectory has to comply to&nbsp;<strong>naming rules<\/strong>&nbsp;(see below) and should be accompanied by an&nbsp;<strong>independent readme file<\/strong>. We require you to use our new DSBU tool DataSquid<strong><sup>@DSBU<\/sup><\/strong> to create a&nbsp;<strong>LTS Readme file that can be shortly adapted to each individual TAR subdirectory<\/strong> &#8211; <a href=\"https:\/\/wp.unil.ch\/dsbu\/tools_readme\/\" data-type=\"link\" data-id=\"https:\/\/wp.unil.ch\/dsbu\/tools_readme\/\">link<\/a>.<\/li>\n\n\n\n<li>The&nbsp;<strong>naming rule only applies to the first TAR sub-folders in the LTS directory<\/strong>. The TAR archive files created from these directories will have the same name. Within these directories the names of the files and data directories are free.<\/li>\n\n\n\n<li><strong><u>Naming<\/u>&nbsp;<u>rules&nbsp;for&nbsp;subdirectories&nbsp;in the LTS directory (TAR archive file)<\/u>. The&nbsp;length&nbsp;of the folder&nbsp;name&nbsp;must not&nbsp;exceed&nbsp;a maximum of 40&nbsp;characters according&nbsp;to the&nbsp;rules below<\/strong>\n<ul class=\"wp-block-list\">\n<li>Numbers from 0-9<\/li>\n\n\n\n<li>Letters a-z<\/li>\n\n\n\n<li>Letters A-Z<\/li>\n\n\n\n<li>Hyphen ( \u2013 ) OK but not at the beginning or end of the directory name<\/li>\n\n\n\n<li>Underline ( _ ) OK but not at the beginning or end of the directory name<\/li>\n\n\n\n<li>No white spaces<\/li>\n\n\n\n<li>No accented characters or symbols<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Step 4 &#8211; Data description (Readme file)<\/h2>\n\n\n\n<p>Complete the&nbsp;<em>readme<\/em> file for each distinct subdirectory to be archived in individual TAR archive file following the established guidelines.<\/p>\n\n\n\n<p>The name and file format of the readme file for LTS must not be changed, \u201c<strong>LongTermStorage_Data_Description_EN.docx<\/strong>\u201d.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">FBM Template: <strong>DSBU automated readme file<\/strong><\/h3>\n\n\n\n<p>Our unit is deploying a user-friendly and automated methodology for generating readme files for FBM Datasets.<\/p>\n\n\n\n<p><strong>DataSquid<strong><sup>@DSBU<\/sup><\/strong> is an advanced tool<\/strong> that automates data documentation for experiments by integrating with equipment databases and laboratory protocols, ensuring comprehensive, consistent, and reproducible research documentation.&nbsp;<a href=\"https:\/\/wp.unil.ch\/dsbu\/tools_readme\/\"><strong>link<\/strong><\/a><\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"754\" src=\"https:\/\/wp.unil.ch\/dsbu\/files\/2025\/09\/capture-decran-2025-09-09-a-18.37.13-1-1024x754.png\" alt=\"capture d\u2019e\u0301cran 2025 09 09 a\u0300 18.37.13\" class=\"wp-image-2076\" srcset=\"https:\/\/wp.unil.ch\/dsbu\/files\/2025\/09\/capture-decran-2025-09-09-a-18.37.13-1-1024x754.png 1024w, https:\/\/wp.unil.ch\/dsbu\/files\/2025\/09\/capture-decran-2025-09-09-a-18.37.13-1-300x221.png 300w, https:\/\/wp.unil.ch\/dsbu\/files\/2025\/09\/capture-decran-2025-09-09-a-18.37.13-1-768x565.png 768w, https:\/\/wp.unil.ch\/dsbu\/files\/2025\/09\/capture-decran-2025-09-09-a-18.37.13-1-1536x1131.png 1536w, https:\/\/wp.unil.ch\/dsbu\/files\/2025\/09\/capture-decran-2025-09-09-a-18.37.13-1-2048x1508.png 2048w, https:\/\/wp.unil.ch\/dsbu\/files\/2025\/09\/capture-decran-2025-09-09-a-18.37.13-1-540x398.png 540w, https:\/\/wp.unil.ch\/dsbu\/files\/2025\/09\/capture-decran-2025-09-09-a-18.37.13-1-1080x795.png 1080w, https:\/\/wp.unil.ch\/dsbu\/files\/2025\/09\/capture-decran-2025-09-09-a-18.37.13-1-1980x1458.png 1980w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p><strong>Once your&nbsp;<em>readme<\/em>&nbsp;file have been approved by clebrand<\/strong>, they should be included at the root of each individual moved within data subdirectory and the future TAR file should be moved from the D2C directory to the LTS directory.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Step 5 &#8211; Procedure to request the transfer of &#8220;cold&#8221; Data to <strong>Long-term storage <\/strong>(tape)<\/h2>\n\n\n\n<p><strong>Request LTS tape transfer via the NAS DCSR dashbord<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Via the interface on the homepage, you will be able to request the LTS tape transfer for part of your data by clicking on the button \u201cRequest for long-term storage (LTS)\u201d in the list of actions listed on the interface homepage. Connect and sign in to your NAS DCSR dashboard via your SWITCH UNIL account using&nbsp;<a href=\"https:\/\/conference.unil.ch\/research-resource-requests\/\" target=\"_blank\" rel=\"noreferrer noopener\">this link&nbsp;<\/a>.<\/li>\n<\/ul>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter is-resized\"><a href=\"https:\/\/www.bium.ch\/wp-content\/uploads\/2022\/06\/Capture-de%CC%81cran-2022-06-16-a%CC%80-15.56.59.png\"><img alt=\"\" decoding=\"async\" src=\"https:\/\/www.bium.ch\/wp-content\/uploads\/2022\/06\/Capture-de%CC%81cran-2022-06-16-a%CC%80-15.56.59.png\" alt=\"\" class=\"wp-image-17763\" style=\"width:365px;height:auto\" \/><\/a><\/figure>\n<\/div>\n\n\n<ul class=\"wp-block-list\">\n<li>Select \u00abmaking a long term storage request\u00bb via your DCRS dashboard interface to ask for Long Term Storage (LTS).<\/li>\n<\/ul>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter is-resized\"><a href=\"https:\/\/www.bium.ch\/wp-content\/uploads\/2022\/06\/Capture-de%CC%81cran-2022-06-16-a%CC%80-16.01.40.png\"><img alt=\"\" decoding=\"async\" src=\"https:\/\/www.bium.ch\/wp-content\/uploads\/2022\/06\/Capture-de%CC%81cran-2022-06-16-a%CC%80-16.01.40.png\" alt=\"\" class=\"wp-image-17766\" style=\"width:461px;height:auto\" \/><\/a><\/figure>\n<\/div>\n\n\n<ul class=\"wp-block-list\">\n<li>To send your request for long term storage of part of your research data on magnetic tape, click on the submit button. <strong>Mention which data you would like to transfer for long term storage<\/strong>.<\/li>\n<\/ul>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter is-resized\"><a href=\"https:\/\/www.bium.ch\/wp-content\/uploads\/2022\/06\/Capture-de%CC%81cran-2022-06-16-a%CC%80-16.10.07.png\"><img alt=\"\" decoding=\"async\" src=\"https:\/\/www.bium.ch\/wp-content\/uploads\/2022\/06\/Capture-de%CC%81cran-2022-06-16-a%CC%80-16.10.07.png\" alt=\"\" class=\"wp-image-17769\" style=\"width:405px;height:auto\" \/><\/a><\/figure>\n<\/div>\n\n\n<ul class=\"wp-block-list\">\n<li>An e-mail will be send automatically to the DSBU.&nbsp;<\/li>\n\n\n\n<li>The DCSR will perform&nbsp;last automatic technical controls\u200b.<\/li>\n<\/ul>\n\n\n\n<p>clebrand will validate the LTS request and will send you a re<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Step 6 &#8211; Validation<\/h2>\n\n\n\n<p>The DCSR&nbsp;will create the TAR archive files&nbsp;and transfer your data on magnetic tape with all individual&nbsp;<em>readme<\/em>&nbsp;file included at the root of each individual TAR archive file. After completing the magnetic tape transfer process for the TAR directory, the&nbsp;<strong>LTS directory will include the following elements:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The&nbsp;<strong>TAR file will be renamed<\/strong>&nbsp;by adding the prefix \u201c<strong>ARCHIVED*<\/strong>,\u201d and the underlying information will only be accessible in read-only mode.<\/li>\n\n\n\n<li><strong>A copy of the readme file<\/strong> \u201cLongTermStorage_Data_Description_EN.docx\u201d will be accessible in read-only mode.<\/li>\n\n\n\n<li><strong>A file named \u201cINVENTORY_OF_ARCHIVED_FILES.txt\u201d <\/strong>within the TAR directory will list the archived files with their full paths and provide information on the recovery procedure from the tapes.<\/li>\n<\/ul>\n\n\n\n<p>This procedure ensures that the archived data remains accessible and easily identifiable.
